Yearbook Adviser Master Pass

Is there a way to create a master pass to allow a yearbook adviser unrestricted access to view photographs beyond expired albums and passcodes?

Beyond "View Photos" is a level where we have parked our various schools, then used sub-categories for the various events we photograph. These events sometimes expire before the yearbook selects the photos it wants, causing us to change the expiration date to allow the yearbook access to the event(s).

Today our adviser asked how she could view various student underclass poses without typing a passcode for each. I couldn't answer her, so I'm passing the question up the chain,

Any suggestions for these two cases?

Do they pay for them or do you supply them complimentary?
I always provide a master USB to every college for their archives and yearbook purposes. It could be a more convenient reference for your clients too.

Thanks for the input, Brooke. We supply anything the yearbook, school or district wants as a courtesy. We are considering a master thumb drive for a seasonal/annual collection. Hadn't considered we may need to provide them on a monthly basis. Guess I'm looking for a short term fix for our administrators to be able view our event albums after consumer access has expired as well as allowing them to bypass the passcode system.

Sounds like a plan. Sounds like you are referring to an ongoing collection of images rather than just a single shoot. I also use a cloud based dropbox called Hightail where I create and share 'spaces' - this is great for collating any comments (changes to naming data) and also helpful for clients that continually need additions to their master collection.

If you are using password protected sub-galleries, in the Text & Settings tab of the gallery you can assign them as the gallery owner.

If you are using the passcode photos feature (password protecting individual photos) and you have all the photos in the main gallery (not in sub-galleries), you can go into the Photos tab of the gallery, select "Select All"

Then create a NEW gallery without passcode photos enabled (but password protect the gallery) and add the photos to the new gallery.

You will see the option in the tray at the bottom of the screen to add the photos to the new gallery when viewing that new gallery (Add photos to this page). In the add photos dialog be sure to select "Just add these photos to this page".

Then they will have their own gallery to view all the photos.
