Automate Replies From Customer Password Requests.

What's the best way to automate a password request reply via Outlook 365?

I'd like to have a template set up that just sends the email so that I don't have to process each one individually.

I don't understand. When someone uses the forgot password option, it automatically sends them the email with the instructions like every other email is sent from Sytist.

Hi Tim,

Thanks for getting back to me.

I probably didn't explain it very well. I've set up a passworded gallery that customers request access to. I recieve their emails OK but have to reply to each one individually with the password... unless I'm missing something.

Hitting the reply button to do this for each individual customer selects their email address correctly but that's time consuming so I've tried setting up rule that automatically sends a saved template to them with the password but the rule picks up my email address as the 'from' email address, and not theirs.

Hope this helps a bit.

Oh, yea, I misunderstood. I was thinking account password recovery. 

I don't know about the Outlook 365, but if it helps and if you can, set the rule to reply to the reply-to email. When emails like that and contact forms are sent, it is sent from your email address, but the reply-to is the person filling out the form email address.

Hi Tim,

Yeah that's the problem, I dont think you can automate a reply to do that.

Does anyone else have a fix? Really don't want to have to keep replying individually. It's also obviously much better if potential customers get their passwords ASAP whilst their still engaged with the site.

Is there no way to change the behaviour of that email request Tim? So that the reply field will feature the customer address?

I have not looked into this on Sytist because I do not use passworded galleries, only the orders and a "contact us" form.

But what about having the request sent to a different email which would have an "out of office" auto reply set for any emails that come in to it that would include the password.

Or if different emails are not an option (and what I personally do), how about a filter that is triggered by a subject line or keyword in the email?

I use Thunderbird and can send a templated reply (again containing the password or whatever message you want) based on many factors, including subject line or key words in the email.

I use both methods for automatically responding to different inquiries like missing orders, generic "how do I see my images", etc...so I am not typing out a new message for the same requests over and over.

This is assuming that you use the same password for all the galleries or it could be customized depending on how the requests are generated and the available criteria included in the email generated by Sytist. May also depend on your email client.

Something that might be plausible. It would be worth a look or may inspire another thought. Good luck!

Hi Lori,

Many thanks for your reply and apologies for not responding sooner.

The issue was a combination of things including using SMTP and not PHP, GoDaddy hosting and Outlook 365. Spent the best part of a day trouble shooting and the only solution I found and was happy with was to creat a "flow" using "Power Automate" (something I'd never even heard of before). This now deals with requests and replies automatically and can even handle requests for different events with different passwords.
