Special Events

I am in the midst of setting up special events (sunset photography) for a period of time in the late summer into the early fall. I have set it up, and tested to make sure clients can book other services on the days we will offer the special events, and so far so good. The only difficulty I am running into is that although I have set times on the special event for each day, the clients still are being asked to choose a time, and because the time choice shows up at the bottom of a large list of available days we are concerned clients will not be able to book themselves correctly.


Here is a screenshot of a portion of the sessions offered when the client clicks "Book Now"


So the client clicks on a date, which also has a time, but then they can't continue the booking until they choose a time, even though the time is already indicated in the special event. Example of screenshot below:

Ignore the last choice, as we were trying to work around this. We did add the wording for the client to make sure to click on the appointment time, but is there any way that this second step could be eliminated? If the client picks a particular day, the date is already predetermined in the special event.

Please let me know if there is any way around the client having to click the time when they have already chosen the time and date as expressed in the list.

Don't use a special event for that. Use the "Once Per Day Event " option because that is exactly what it was designed for.

  • Once Per Day Event: Selecting this option means that this service can only be selected once per day, but it doesn't book up the whole day. A good example if you offered a sunset photo shoot. It can only happen once a day.

Hi Tim,

I didn't set it up as a once-per-day event, because I didn't see an option to change the time of the event to correspond to the sunset times changing over the months.  Would I have to set up different booking choices by month if I did the once-per-day option?

Is there any way around the client having to click the time on the special event booking if the time is already chosen in the way I have it currently set up?

You could just coordinate the time after it is booked.

There is not a way to not have the time selected in the special event and no workaround for it.

I just looked at the choices for booking types again.  When booking one-per-day events, I don't see a way to select particular dates to choose.  If I want to set sessions only on Monday and Wednesday one week and Tuesday and Thursday the following week, what is the way to do that without using the special event booking type?

You can check the  "Custom Available Days" option to select what days of the week, but no option to select certain days for one week and different the next week.

Sorry there is not a solition for your problem.

Hi Lori,


I have a feature request so custom days have a month and time variable added for this exact issue, I only want to make specific outdoor sessions available X many hours before sunset (usually 2 or 3) to avoid harsh lighting, and living in the northern hemisphere it can vary from 4pm to 10pm!

Until then, you might be interested in my work around which isn't ideal as I have to plan all my studio work in the mornings, but I currently deal with outdoor sessions by exclusion. That is, I set my outdoor session as a custom day event between 4pm and 10pm, then I go into my calendar and book 2 placeholder events either side of bad light and sunset.

For example, If sunset is 8pm that day, I'll book a calendar event between 4pm and 6pm as "bad light" and then 8pm to 10pm "sun down". The booking calendar will show 6pm to 8pm as bookable, and doesn't mess with my morning/studio work (which is not sunlight sensitive).

It's a huge manual exercise I have to do once a year, and it places limitations on everything else I offer, but it works!
