Order To Prints Workflow

Hi Guys, we are after some advice and potential workflow solutions on getting from 'Web Orders' to 'Print'. Having come from paper forms that we data entered into an excel spreadsheet we have up until this year been manually entering data from the website into excel. (silly I know but it gives us an amazing amount of reporting power). We have also started printing in house. This year (due to volume of orders) we have tried downloading csv files but have not found we get enough information. For instance the download doesn't capture the notes on the orders. It might be our products aren't setup correctly but wanted some workflow advice from people doing this sucessfully. We also need to capture commission for clubs, sales per item, club or team etc in our workflow. Any advice would be appreciated on how we can streamline our information capture. Does anyone upload hi res images and generate a print queue from sytist?

You can add the order notes to the product export. Orders -> Product/Order Export Settings and click Add additional fields from the order data and select order_notes.

Thanks Tim, I will look into this. I have occassionally read here people who search and replace downloaded csv's to make them more useful. Does anyone have a system by which you don't have to manually pic the artwork for the order? I'd assume you'd have to upload high res files for that. What are the limits on file size?

Hey Tim, is there a way that I can use the 'download original' to help form a print queue? Last time I Tried Sytist had issues displaying high res images. Is that stil lthe case? Is there a way Sytist can display low res while keeping the high res on hand. Due to file sizes would i need to have the site hosted on my local network to make this work?

The original photo file is kept unless you select not to keep it and you can download that original file from the admin.

Hey Darrell,
I would look into Excel Macros to get your data quickly into the format you need it from Sytist. Not sure what program you are using to place your orders, but we use it sucessfully with Darkroom. An Idea for Tim that may draw some more volume photographers to the platform would be to have Darkroom Assembly Export presets.

I have come back to this post as we are approaching our slow season. Wow guys thanks for the tips. I mention the below thoughts for anyone that was following this post. I always thought that Sytist had limits on the file sizes it can display but I suspect now after looking at what Tim mentions above that you can upload high res and it will display low res. Also excited to look into what the Amazon S3 image hosting is all about as I have an S3 account for other stuff I do. I include the link below as I have some reading to do.

Tim is there any way to get help with navigating some of this stuff? Can you purchase a service pack of time, like you would when getting your site installed? Anyone that does volume that could spare me some time or a tech. Happy to pay.

Thanks Joey for the heads up - will look into this and also an insituaFX solution

Hi Joey,

Are you still using Sytist with Darkroom ? Looking at using Sytist more for volume just need an easier way to get orders into Richmond Labs, possibly other labs.

Thanks,

Chuck
